We look forward to your participation and appreciate your contribution to this important community celebration!

Note:  Grand Entry is on Saturday September 6, 2025, the busiest day. The preceding Friday, September 5th is the preparation day when some visitors attend, along with park visitors passing through. Attendance is quite low compared to Saturday’s main event.
Vendors may choose to set up on both days. If so, ask about overnight guidelines.

Confirmation Deadline

• The cut-off date for vendor confirmations is one week prior to the Pow Wow, on August 31st.
• This ensures enough time for the Vendor Coordinator to organize logistics and communicate any necessary information.

Please read the following guidelines throughly:

All vendors are expected to bring their own canopy, tables, and chairs.
•  Food vendors requiring electricity must inform us in advance. We will do our best to place you near power sources (e.g., drink dispenser machines), depending on demand.
•  Vendor spots are limited to 12 total to maintain a manageable setup. Your preference of booth location is on a first-booked, first-served basis.
•. French River Pow Wow, and its It’s organizing committee, is not responsible for loss or injury of for financial loss that you may incur due to your participation in this event.

Contributions instead of Vendor Fees
• Craft Vendors • Instead of a vendor fee, we kindly ask each vendor to donate a gift-in-kind item from their booth. These items are used as spot prizes during the event, distributed and announced by the Emcee. You will be expected to provide the donated item before setting up your booth
* Food Vendors: A $25 contribution will go to support the Pow Wow’s Youth Dancers and is required upon booking. Payment of the deposit instructions will be provided upon confirmation.
There are no additional fees required.

Set-Up & Take-Down Times
Friday:
Set-up: 10:00 AM – 11:00 AM
Vendors must be aware that Friday is also a committee setup day with few visitors. There may be little, but some public park traffic. Ask us about overnight storage guidelines.

Saturday:
Set-up: 10:00 AM – 11:00 AM
Grand Entry begins at 12:30 PM.
Take-down: 4:00 PM – 4:30 PM (30 minutes before the Pow Wow ends)
Timing may shift slightly depending on weather and committee/MC direction.
Vendors are invited to attend the feast following the event, usually held at the Visitors Centre.

Note: The Vendor Coordinator will be at the Park by 9:00 AM both days to greet and assist early arrivals.
